CLASS TITLE: SCHOOL ADMINISTRATIVE ASSISTANT

BASIC FUNCTION: Under the direction of the Assistant Principal, perform a variety of clerical and secretarial duties to relieve the Assistant Principal at an assigned school site of administrative and clerical detail; serve as liaison between administrators, faculty, staff, students, parents and the public.

REPRESENTATIVE DUTIES:

ESSENTIAL DUTIES: Perform a variety of clerical and secretarial duties to relieve the Assistant Principal at an assigned school site of administrative and clerical detail; type a variety of correspondence, memoranda, requisitions, reports, board agendas, forms, bulletins and letters. Serve as liaison between administrators, faculty, staff, students, parents and the public; explain program services, policies and procedures; initiate and answer telephone calls; screen and route calls; respond to inquiries and provide information; retrieve and respond to messages as appropriate. Receive and greet parents, students and personnel and direct inquiries to appropriate personnel; exercise independent judgment in resolving a variety of issues and refer difficult issues to the appropriate personnel as necessary. Maintain and update student discipline data as assigned; input discipline referrals, cut numbers, and incident information into an assigned database; collate and compile data to generate documents relating to disciplinary actions and records. Provide administrative support for State-mandated standardized tests; order testing supplies; maintain inventory of requisitioned items; prepare completed tests and other materials for shipment to appropriate assessment agency; maintain databases of eligible students; assure that student needs, including those of special needs students, are accommodated; communicate with the Assistant Principal to determine and assign testing proctors and rooms. Perform a variety of clerical duties in support of student assessment, bilingual and other Statemandated testing programs; assign testing personnel to appropriate school sites; compile, print and distribute test rosters for faculty and students as appropriate. Compose a variety of correspondence independently or from oral instruction; compile and duplicate information and documents as necessary; maintain confidentiality of sensitive and privileged information. Provide intra- and inter-District liaison duties as assigned; process and submit transfer documents; schedule appointments with prospective attendees; respond to inquiries from parents, staff and District personnel regarding processes, District boundaries and other applicable information; input transfer data into an assigned database. Organize, oversee and implement graduation ceremonies and related activities as assigned by the position; order diplomas, supplies and equipment necessary to the completion of the event; prepare required forms, documents, notices and correspondence and submit to appropriate personnel and agencies. Compile information and prepare and maintain a wide variety of data and reports according to established procedures and time lines; participate in special projects and research related to the Assistant Principal’s area of responsibility. Prepare and maintain a variety of records related to assigned activities; establish and maintain filing systems; attend meetings, take notes and prepare summary of minutes as requested; assist with organizing and preparing school handbooks, evaluation forms, policy books and related documentation as required. Maintain calendars of facilities use requests from outside agencies as assigned; assure the availability of requested rooms, the completion of required documents and generate and submit invoices to appropriate parties. Maintain calendars and schedules of meetings, appointments and conferences; arrange travel reservations; prepare and update yearly and monthly school calendars as assigned. Maintain office supply inventory; communicate with vendors for supply orders and assure timely delivery; prepare, and distribute school and testing supplies. Operate a variety of office equipment including a copier, fax machine and a computer and assigned software. Receive, sort and distribute mail; receive and respond to e-mails; prepare and distribute informational packets and bulk mailings as directed. Train and provide work direction to student volunteers as assigned by position.
