Job Description

POSITION SUMMARY:               

 

Provide administrative support to the department management as well as off-site field personnel including Construction Managers and Construction Field Assistant.



Responsibilities 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Act as liaison between construction field personnel and the division
  • Prepare and distribute community lot files to field trailers
  • Coordinate the implementation of the Corporate Safety Program and subsequent collection and tracking of required documents
  • Responsible for ordering of field supplies (including shirts, jackets, etc.) and correct department coding for accounting purposes.
  • Perform filing, copying, word processing and various related clerical duties as assigned, including preparation of supervisor’s and field personnel expense reports; feasibility studies, field operations manual.  Also maintain architectural materials and products library and prepare departmental check requests
  • Process certificates of insurance and maintain insurance files
  • If requested, responsible for the taking and distribution of minutes at weekly Construction Managers’ meetings, including agendas
  • May be required to deliver and/or pick-up documentation from various entities
  • Coordinate meetings, luncheons, etc. for the department as requested
  • Support manager and department with administrative duties
  • Update and distribute Production and Quality Control reports according to department schedule
  • Maintain and update Construction Manuals.  Produce finished manuals as needed for new hires
  • Prepare and distribute field office filing system (start package) for each new community and updating field homesite files for each new phase release
  • Perform all other duties as assigned



Qualifications 

EDUCATION AND ADDITIONAL REQUIREMENTS:

 

  • Three (3) years related work experience preferred
  • High school diploma or GED required
  • Intermediate skills in Microsoft Office (Word and Excel)
  • Excellent interpersonal, organizational, verbal and written communication skills
  • Working knowledge of the construction process and lien laws preferred but not required
  • Maintain regular attendance and punctuality relative to daily work schedule is required
  • Follow directions from a supervisor
  • Interact well with co-workers
  • Understand and follow posted work rules and procedures
  • Valid Motor Vehicle License
  • Work well under pressure
  • Capable of handling multiple tasks with simultaneous deadlines

PHYSICAL REQUIREMENTS:

 

This job is primarily a sedentary office position, which requires the ability to occasionally bend, stoop, reach, lift, move, and carry office materials and supplies weighing 25 pounds or less.  Finger dexterity is required to operate a typewriter, 10-key and computer keyboard.  May be required to operate a motor vehicle.
