Job Description



Responsible for assisting with the opening, processing, and closing of escrow files in a proper and timely manner.  This position carries a high degree of responsibility for accuracy in the projection and timely coordination with the escrow team to deliver the Division’s escrow closings.


Fast, frequent and accurate verbal and written communication is critical between the Escrow Administrative Assistant and the Escrow Coordinator(s), Sales associates, Field associates, Mortgage companies, and Title companies. The paperwork and computer documentation review are substantial and must be filed or processed and forwarded daily.




  • Review, prepare and submit sale file conditions to new home consultants in a timely matter. Retrieve, review and clear sales file conditions on all sale files prior to final transaction costs transmittal to title
  • Review options deposits, finalize all conditions to file and approve file for closing department review
  • Input lender information, track and review all lender changes for escrow companies
  • Review Final Terms for accuracy and transmit to title for preparation of HUD -1 worksheets
  • Review for accuracy all Estimated Settlement statements
  • Close out, balance file and review Final Settlement statements prior to Accounting Department’s review of closed files
  • Problem solve all escrow tracking and closing issues between all parties
  • File paperwork in a timely manner to ensure ease of accessibility to files at all times by the Escrow, Sales & Marketing, and the Accounting departments
  • Distribute copies of Purchase Agreements, Addendums, Construction Orders and earnest & option check copiers of reach home site to title, lenders, sales, construction managers, and purchasing.  Copying also includes other documents necessary for closing escrows
  • Review the file Final HUD-1 worksheets to and close escrow file and file – all necessary documents forwarded to the Accounting Department
  • Perform all other duties as assigned




  • High School diploma or GED required
  • Skilled in Microsoft Excel and Word
  • Valid driver’s license
  • Accurate typing 60-70 wpm
  • Excellent verbal, written and oral communication skills
  • Strong organizational and multi-tasking skills
  • Must possess a professional attitude to represent company in positive manner
  • Requires the ability to work while functioning under the stress of problem solving and time sensitive deadlines                                                                            
  • Maintain regular attendance and punctuality relative to daily work schedule is required

This is primarily a sedentary office position which requires the ability to occasionally bend, stoop, reach, lift, move and carry office materials and supplies weighing 25 pounds or less.  Finger dexterity is required to operate computer keyboard and calculator.  May be required to operate a motor vehicle.
